MCB Reservation and Billing Policies

  • All users will be billed for training and access to SEAS MCB instruments to cover maintenance and operating costs. Training is free on equipment unless otherwise noted in the tables above.
  • Users will be billed the maximum of the time reserved or the actual time on the instrument.
    • Logoff of the PPMS screen lock after your session or charges will continue to accrue. If this occurs, contact core manager to correct.
    • Late arrivals are billed from the start of scheduled time.
    • You may cancel your instrument reservations up to 2 hours before your reservation. You will be billed 50% of the session fee if you do not cancel or reschedule your session in time and billed the session fee if you cancel during your scheduled reservation time. One way to avoid a fee is to cancel or reschedule your session in advance if needed – this aims to ensure that reservations accurately signal the availability of instruments so that everyone can do their experiments as efficiently as possible.
      • You will not be charged a late cancellation or no-show reservation fee if someone reserves your time. In other words, if  a person cancels in the window of late cancellation penalty, this person will ONLY pay if no one books/ uses the time. Please cancel in as much advance as possible to allow users to reserve and use the instrument.
        • Example: John books 4 hours. The cancellation fee is less than 2 hours before at 50%. John cancels 1 hours before and Mark reserves 3.5 hours of John’s 4-hour reservation. John will pay 30 min at 50% and Mark will pay for his use time of 3.5 hours.
  • Users who wish to extend their time may do so if no other user has signed up or if the next scheduled user gives express permission. During these times, the user logged in to PPMS will be charged for time on the instrument

* Your Harvard/non-Harvard affiliation status is determined by whether you have a 33-digit internal billing code (Harvard Internal rates = users with Harvard 33-digit billing codes).  If this code is not available, you will be charged the non-Harvard rate based on the university overhead rate and ease of billing considerations. *** There will be designated regions on the fridge/freezer. If capacity is reached in the fridge/freezer, labs will be asked to reduce their number of used regions.

Life Lab members receive a negotiated rate that is discounted from the external rate. Please reach out to the core manager for rates.
